A stretched team was running a ~300-capacity venue on four disconnected spreadsheets and guesswork. Bookings lived in Google Sheets, guest lists were on paper, and the till didn’t talk to anything — so the end-of-night cash count was done by hand at 3 AM. Open tabs walked out the door unsettled, and nobody could say with confidence what a Saturday actually made.
Over six months we plugged the leaks one at a time and left a small, reliable tool in place of each. We reconciled the unsettled tabs and tickets nobody had time to chase, brought the finances in-house, and built the venue its own stack — a customer tab system that guarantees settlement, payment verification at the till, per-event budgets checked live against the takings, and accurate cost-of-goods for the first time. Then we trained the team to run it all without us.
Trade roughly doubled — the operating result for the first six months already beat the entire prior nine. We recovered the bulk of the unsettled tabs early on, and moving finance in-house cut running costs by around 15% a month. The team runs the venue themselves now; we ran events with no consultant in the room to prove it held.
A smoother night out — tabs settle cleanly, payments verify at the till, and the staff are on the floor instead of buried in admin. No one was replaced; the tools just took the draining work off the team.
